IMPORTANT GUIDELINES FOR VIRTUAL OFFICE
CollabSpace, through its verified third-party vendors, provides the necessary documents for Company and/or GST registrations. The responsibility for obtaining these registrations lies solely with you. CollabSpace and the third-party vendors shall not be liable for any rejections by government authorities.
Please ensure to download sample documents from the CollabSpace website and have them reviewed by your legal team before making any payments.
Key Guidelines Related to Your Virtual Office Plan:
1. Documents
- It takes 5-7 working days for us to share all necessary documents with you.
- Payment via NEFT/RTGS/IMPS takes 1-2 working days to reflect in our invoicing system. The online KYC process begins only after payment verification, adding an additional 2 days to the Turnaround Time (TAT) for such manual payments.
- If your legal advisor or CA requires a notarized agreement or No Objection Certificate (NOC), please account for an additional TAT of 4-5 working days due to manual processing. Additional charges for notarization will depend on the third-party vendor.
- Our documents are drafted following rigorous legal standards and comply fully with Indian laws. Structural changes to the documents are not permissible.
- Minor changes (if absolutely necessary) can only be accommodated in the draft version shared before executing the agreement. No changes can be made once the final agreement is stamped and executed.
- If you do not complete the KYC process within 30 days of payment, CollabSpace reserves the right to forfeit your booking amount, with no refund provided.
- For those purchasing a virtual office for company registration, it is advised to apply for a "Name Approval" letter from MCA/RoC before executing agreements in the company name. Changing the company name after the agreement is stamped is generally not possible, though some partners may allow name changes at an additional cost of INR 1500-3000.
- Aadhar-Linked Mobile Number Verification via OTP is mandatory for GST application completion. Ensure that at least one owner's mobile number is linked to an Aadhar number before applying for GST registration to avoid rejections. CollabSpace will not be liable for any rejections in this regard, and no refunds will be issued.
- For purchasing a virtual office plan in Goa & Assam, your physical presence is required for notarization.
2. GST Invoices
- Once issued, we cannot update invoices for Virtual Office services utilized for GST and/or Company registration due to government regulations. Invoices must be issued without a GST number, as services are rendered prior to GST application.
3. Bank & GST Verification
- For any bank verification, please notify support@collabspace.in at least 3-4 working days in advance to ensure that all necessary business details are provided to bank officials accurately and timely.
- Please note that GST authorities may visit the virtual office premises for verification as per state-specific norms. A signing authority from your company must be present during such visits. Establishing your credentials with authorities for registration approvals is your responsibility, as CollabSpace and our third-party vendors cannot officially represent your company during these visits.
4. Signage
- Each vendor has different signage policies. Please check the type of signage available on the space details page on the CollabSpace website.
- Complimentary Signage: Printed on A4 sheets, temporary in nature, and provided upon request.
- Permanent Signage: If available, will be provided for the entire tenure unless specified otherwise. Additional charges may apply for printing and rental.
5. Courier Handling
- If you expect an important delivery, please inform support@collabspace.in at least 3-4 working days in advance. All couriers received must be collected in person or via third-party pick-up services.
6. Limitations of Virtual Office
- While there are no specific conditions under which a virtual office is applicable, many third-party vendors do not provide services for the following:
- Online gaming/betting platforms
- Crypto platforms
- Companies with registration or directors from India’s neighboring countries (e.g., Pakistan, China, Nepal, Sri Lanka, Bangladesh)
- Virtual office plans are also not applicable for government grants/schemes, FSSAI licenses, Shops & Establishment registration, etc. They are intended solely for company registration, GST registration, or as a communication address on company letterhead and visiting cards.
